Reserving Engineering Classrooms for Events
Please read the following instructions and click the link at the bottom of this page to access the reservation request form. To use this site you must have an active Cornell net ID and account number. This site can only be used to reserve R25 Engineering classrooms for events if space is available (see list of rooms below). If you wish to reserve a department lounge or conference room you must directly contact that department to submit a request.
Use this form for non-course event room reservation requests (no official class, prelim exam, or make-up exam room requests). All course/exam-related requests must go through the appropriate department coordinator. Event examples are: review sessions, information sessions, office hours, student group meetings, special events, presentations, trainings, etc. If you have any questions please send an e-mail to email@example.com .
If you have never submitted a room request through our online form or are not signed up as an R25 room requester you will need to do a quick sign-up to be added as an R25 requester in the system. Simply follow the link listed below and enter your PeopleSoft netID and password. This will "kerberize" you in the R25 room scheduling system. You will only need to do this once and you will be in the system for all future room requests you submit.
The Engineering Registrar's Office attempts to process room requests within three business days. During the first two weeks of the fall and spring terms processing may take longer due to extremely high request volume. We cannot process same day requests, so please make your requests as early as you can. We will confirm each request by e-mail.
Once your reservation has been confirmed, you must arrange for access to the building and room by contacting the appropriate building coordinator. Be aware that most buildings/rooms are locked after hours and on weekends so you must contact the building coordinator Monday-Friday, 8:00am - 4:30pm, prior to your event (there are no staff available for assistance on weekends or evenings). Please refer to the room list below for building coordinator contact information. Additionally, AV support is available by emailing firstname.lastname@example.org, Monday-Friday 8:00am-4:30pm.
Reservations are first come, first serve, with priority given to College of Engineering events. Occasionally groups may be bumped for a high priority Engineering/University event and will be promptly notified. All reservation requests must be by, or on behalf of, groups that are officially recognized by Cornell, or a Cornell unit/department. Cornell student groups must have an active registration with the Student Leadership, Engagement & Campus Activities Office (SLECA). Individuals may not reserve these rooms for personal use.
Original room and furniture arrangements must be restored by the user at the end of each reservation period so the space will be immediately available for the next user. The room must be left neat and clean, especially with events where food is served. Additional fees may be assessed if the room is damaged or extra clean up is needed. No events with alcohol are allowed in these classrooms. If a group plans to hold an event at which alcohol is served a department lounge/room with kitchen access must be reserved.
Please be aware that noise must be kept at acceptable levels since these rooms are in academic buildings with faculty and student research occurring in the evenings and on weekends. Failure to adhere to these guidelines could result in groups being barred from future reservations in the Engineering College buildings. Furthermore, during the designated instructional time from 8am-430pm, Monday-Friday, no reservations for any student group meetings or activities will be accepted in Engineering classrooms.
ATTENTION *UPDATE*: the new fee schedule found below will apply to units or groups not affiliated with the College of Engineering for all non-course related events held January 1, 2015 and later.
Schedule of Room Fees
Groups and units not officially affiliated with the College of Engineering and Computing & Information Science will be assessed a room use fee based on the schedule below for events that are not directly associated with class instruction. The fees will be assessed per reservation request and will not be dependent on whether the event occurs or not. An active Cornell account number is required for any room reservation. Cancellation Policy: only cancellation requests that are sent to firstname.lastname@example.org at least two weeks prior to the scheduled event will be refunded. The $5 booking fee is non-refundable for all room reservations. No refunds will be given for cancellations within two weeks of an event date.
